Place in the Organization:

The Office Assistant/Receptionist performs routine clerical and administrative work such as answering telephones, receiving the public, providing customer assistance, data processing, requisition of supplies as well as additional clerical duties. This position calls for flexibility, strong interpersonal skills, and the ability to interact well with all levels of external visitors as well as internal management and staff.

Key responsibilities include, but are not limited to:

  • Welcome visitors by greeting them, in person or on the phone, answering or referring inquiries
  • Maintain security by following procedures, issuing visitor badges and ensuring all guests sign in and out
  • Maintain a clean reception and waiting area
  • Order, receive and maintain office supplies
  • Ensure coffee is stocked and supplied in the kitchen, place orders as needed
  • Provide overflow administrative support for the executive assistants with tasks such as: scanning/copying, expense reports, travel arrangements, scheduling, and ordering/picking up food orders if necessary
  • Coordinate with vendors and services they provide (i.e. vending machines, food delivery, FedEx, etc.)
  • Participate and assist with the planning, set-up, running and cleanup of onsite or offsite company related social eventsOther duties administrative assigned at the discretion of the manager


  • Graduation from high school or GED equivalent with specialized course work in general office practices such as typing, filing, scheduling and basic spreadsheets
  • Strong Familiarity with Microsoft Office suite
  • Ability to effectively communicate in the English language, both written and oral

Work Environment:

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands:

  • This is generally a sedentary role; however, some moving about the building is required. This may include escorting visitors to meeting rooms, receiving deliveries, stocking office supplies in the copy center, and setting up food service for internal meetings. Additionally, incumbent may be asked from time to time to run local errands to pick up food for meetings or office supplies.

Position Type and Expected Hours of Work:

  • This is a full-time, non-exempt position. Regular days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m.


  • Other than local errands, no travel is expected for this position.
